The challenge
Every day is a new set of shops and orders.
Bonus cases on slabs must be exact.
Cash from shops must reconcile.
Drinks go out in crates and glass bottles, and the empties must come back from every shop.
Demand doubles in summer and stock must keep up.
Shops, hotels and wholesalers each pay a different rate.
How it works
HisabMate keeps every drink in cases, crates and bottles on the same item, with conversions and a barcode for each pack. Company schemes — free cases on slabs — apply on sales and on purchases, and the bonus cost stays in cost of goods so profit is true.
Salesmen book orders on their phones along the route; the office turns each order into an invoice in one step and prints a load sheet for every vehicle. Price tiers and discount rules by customer, route or company give each shop its own rate.
Crates and glass bottles can be tracked as returnable containers: each invoice records the crates and bottles going out and the empties coming back, so every shop’s count is known and you see how many you own. Every shop has a ledger with a credit limit, and the collection by person report shows what each salesman brought back that day. Route-wise receivables and aged receivables show whom to chase, and reorder alerts warn before the summer rush empties the godown.
A day in HisabMate
Morning
The order booker books a shop’s order for 20 crates on his phone; the office turns it into an invoice and adds it to the vehicle’s load sheet.
At the shop
20 filled crates go out and 15 empty crates come back. Both are recorded on the sale, and the shop’s container ledger now shows 5 crates with them.
On the bill
The invoice prints the crates out and back, so the shopkeeper signs for the same count you keep.
Month end
A physical count of crates in the warehouse is checked against the system, and the containers-with-customers report shows where the rest are.

Intelligence built in
Four scheme types — buy X get Y (same or different item), quantity slabs and manual bonus — by item, category or customer, with date windows. Applied automatically on sales and purchases.
Rules by customer, route, price tier, item, brand, company or category, with quantity and bill-amount slabs. One rule wins, so a bill is always explainable — and you are warned below minimum price.
Weighted average cost is recalculated on every purchase and frozen onto each sale line — so profit by invoice, product and customer is real, bonus goods included.
