Setting Up a Pharmacy on Software: A Step-by-Step Checklist

Moving a pharmacy to software works best in a set order. Do the setup once, carefully, and the counter, the expiry checks and the reports take care of themselves after that.

1. Prepare the medicine list

List each medicine with its name, pack (strip, box, bottle), units per pack, sale price and barcode. Start from your distributor’s list or a spreadsheet — it is quicker than typing from scratch.

2. Enter opening stock by batch

For every medicine on the shelf, enter the quantity of each batch with its expiry date and cost. This is the most important step: everything about expiry depends on it.

Worked example — one medicine, two batches
Batch A12 — expires Mar 202740 strips at Rs 82
Batch B07 — expires Nov 202760 strips at Rs 85
Sold first at the counterBatch A12 (nearest expiry)

3. Enter distributor balances

Add each distributor with what you currently owe them, so payments and new purchases continue from the right figure.

4. Set expiry alerts

Choose how many days before expiry you want to be warned — 60 or 90 days is common — so near-expiry batches can be returned or sold first.

5. Give counter staff only what they need

Counter staff need billing and stock lookup, not purchase costs or profit reports. Set their permissions before the first day.

6. Run a test day

  1. 1Make a few sales and check that the nearest-expiry batch was picked.
  2. 2Record a purchase with batch and expiry, and a bonus line.
  3. 3Print a receipt on your counter printer.
  4. 4Check stock and the day’s profit report.
