How to Manage Recovery Officers in an Installment Business
In an installment business, the recovery officer is the person who turns sales into cash. A good one keeps the business healthy; a loosely managed team lets arrears pile up quietly. Managing recovery well comes down to clear routes, clear expectations and same-day records.

1. Give every officer a route
Divide customers by area and assign each area to one officer. One owner per customer means one person is responsible for that balance — nobody can say “I thought someone else was going”.
Assign the route on the sale itself, so a new customer lands on the right list from the first day.
2. Show each officer only his own customers
An officer needs the names, phones, addresses and dues of his own route — not the whole customer book. Limiting what each person sees protects your customers’ details and keeps every list short enough to act on.
3. Set the expected collection for each route
At the start of each week or month, work out what each route should bring in: every installment falling due, plus arrears already behind. That number is the officer’s target.
| Installments due this month | Rs 480,000 |
|---|---|
| Arrears from earlier months | Rs 95,000 |
| Expected collection | Rs 575,000 |
| Actually collected | Rs 512,000 |
| Recovery rate | 89% |
4. Record every rupee the same day
Cash that sits in a pocket overnight is where mistakes and disputes begin. Ask officers to record each collection when it is received — customer, amount, date and the account it went into — and to hand over cash daily.
Give the customer a receipt every time. A customer with receipts is a customer who trusts the business.
5. Review performance every week
- Collected against expected, for each officer
- Customers more than one installment behind, by route
- Promises to pay that were missed
- Visits made versus customers due
6. Know where your team is
When officers work across a city, a live location and a daily trail answer the owner’s first question — “did the visits actually happen?” — without a single phone call. Tell your team clearly that location is tracked during work.

Questions
How many customers should one recovery officer handle?
It depends on distance and installment size. Start with a route one person can visit within the collection days, then adjust from the recovery rate.
How do I measure a recovery officer?
Compare what his route collected with what it was expected to collect, and watch how many of his customers fall behind each week.
