How to Manage Customer Credit (Udhar) in a Shop
Credit keeps regular customers coming back. But udhar written in a notebook goes missing, gets disputed, or simply grows until it cannot be recovered. A few simple habits keep it under control.

1. Decide who gets credit, and how much
Give credit to regular customers you know, and set a limit for each one: the most they can owe at any time. A limit is easier to say “no” with than a feeling, and it stops one customer from tying up too much of your money.
2. Record every credit sale against the customer
Each credit sale should go into that customer’s own account, with the date, the bill number and the amount. Each payment goes into the same account. The running balance then shows exactly what is owed at any moment.
| 1 Oct — Bill 1021 (credit) | + Rs 4,500 → balance Rs 4,500 |
|---|---|
| 8 Oct — Bill 1104 (credit) | + Rs 2,200 → balance Rs 6,700 |
| 10 Oct — Payment received | − Rs 5,000 → balance Rs 1,700 |
3. Share a statement, not a number
When a customer questions the balance, show the statement: every bill and every payment, with dates. Sending it on WhatsApp ends most arguments in a minute.
4. Look at ageing, not just the total
Rs 50,000 owed for a week is normal trade. Rs 50,000 owed for three months is a problem. Sort balances by how old they are — under 30 days, 30 to 60, 60 to 90, and over 90 — and follow up the oldest first.
5. Keep personal loans separate
Money lent to a friend or borrowed from a relative is not a sale. Keep it in a separate book so it never mixes with your shop’s profit and loss.

Questions
How do I set a credit limit?
Base it on how much the customer buys in a typical month and how reliably they have paid. Start small and raise it for good payers.
What is an aged receivables report?
A list of what each customer owes, split by how old the balance is, so the oldest debts are followed up first.
