Partners & Investors guide
How to Track Partners & Investors in a Pakistani Business (Capital vs Profit)
Many Pakistani businesses run on more than one person’s money. A brother puts Rs 5 lakh into the mobile shop, a relative backs a bike showroom with Rs 20 lakh, a friend funds a distributor’s stock. The trouble starts at month end, when everyone asks: how much of this is mine? This guide shows how to keep the account clean — capital apart from profit, every month, without arguments.

1. Why one khata for everything causes disputes
In most shops the investor’s money, his monthly profit and whatever he takes out all go on one page of the register. After a few months nobody can say whether a Rs 40,000 withdrawal was his profit or part of his capital. When he asks for his money back, both sides have a different number.
The fix is simple: every partner and investor has two balances, never one.
- Capital — the money he has in the business: what he started with, plus money he put in, plus profit he chose to leave in, minus capital he took back
- Profit balance — his share of the profits not yet taken out
- Total due — capital plus profit balance: what the business owes him today
2. Write the deal down before the money comes in
Most disputes are not about arithmetic; they are about a deal nobody wrote down. Agree three things on paper, signed by both sides:
- 1The kind of deal: a Partner shares profit and loss; a Profit-only investor shares profit while his capital stays whole (the owner carries his part of any loss); a Fixed-return investor gets a fixed amount every month, profit or loss, carried by the owner.
- 2How profit is split: by capital (each person’s capital over the total), or by an agreed % — for example a working partner who runs the shop takes a bigger share.
- 3What happens in a loss month: under the Musharakah profit sharing partnership rule a profit may follow the agreed %, while any loss follows capital. Profit-only and fixed-return deals are loans in Islamic finance terms — record them only as agreed in writing.
3. Keep profit taken apart from capital taken
When a partner takes money out, write down which it is: profit or capital. Profit taken comes off his profit balance. If he takes more profit than he has, the rest comes off his capital — and that should show on his statement in plain words.
| Capital | Rs 5,00,000 |
|---|---|
| His profit share this month | Rs 30,000 |
| He takes out as profit | Rs 40,000 |
| Off his profit balance | Rs 30,000 |
| The rest — came off capital | Rs 10,000 |
| Capital now | Rs 4,90,000 |
4. Share the month’s profit from the real P&L
Split the net profit from your Profit & Loss — sales minus the cost of goods sold and shop expenses — not the cash in the drawer. Cash is not profit: money is also sitting in stock and in what customers owe.
Sharing profit moves no money. It only records whose profit it is. Money moves when a partner actually takes it out.
If a bill or expense of an earlier month is entered late, do not rewrite that month. Share the difference in the next month as a correction, using the earlier month’s own %, so the old figures everyone agreed stay as they were.
5. Leaving profit in the business
A partner who does not take his profit can add it to his capital — by hand, or automatically every month. If profit is split by capital, his bigger capital gives him a bigger share from the next month, because the capital at the start of a period is what counts. Money put in on 15 October counts from November.
6. Statements, and who can see them
Give each partner a statement every month: opening capital and profit balance, every entry, and closing figures. In Urdu if he prefers. Partners’ profits are private, so your counter staff and salesmen should not see them.

Questions
How do I keep an investor’s capital and profit separate?
Give him two balances: capital (what he put in, plus profit he left in, minus capital he took back) and a profit balance (his profit shares not yet taken). Record every withdrawal as either profit or capital.
What if a partner takes out more profit than he has?
The profit balance goes to zero and the rest comes off his capital. His statement should say “came off capital” in plain words so both sides see why his capital changed.
Should I split the cash in the drawer or the profit?
Always split the net profit from your Profit & Loss report. Cash also sits in stock and in what customers owe, so cash in the drawer is not profit.
How does the Musharakah profit sharing rule work for a working partner?
Under the Musharakah profit sharing partnership rule (“By agreement, loss by capital”), a working partner who runs the shop can agree a higher profit %, while any loss is split strictly according to each partner’s capital. Profit-only and fixed-return deals are loans in Islamic finance terms — record them only as agreed in writing.
Who carries the loss for a Profit-only investor or pays a Fixed-return investor?
The owner alone. A share-% partner carries his own share of a loss, but never pays for another investor’s capital guarantee or fixed monthly return.
What if a partner adds new capital in the middle of the month?
When splitting by capital, the capital at the start of the period counts — so money put in on 15 October counts from November.
An old month’s bill or expense was entered late. Do I redo that month?
No. Do not rewrite an old month that partners already agreed on. Share the difference in the next month as a correction line, using the earlier month’s own share %.
Is there investor profit sharing software in Pakistan that does all of this automatically?
Yes. HisabMate is partner business accounting software in Pakistan with a built-in Owners & Investors module that reads your P&L net profit, splits it by capital or agreement, and prints English or Urdu statements.

Roman Urdu
Investor ka sarmaya (capital) aur munafa alag kaise rakhein?
Har partner aur investor ke do alag balance rakhein: capital aur profit balance. Jab bhi woh paisa nikalwaye, saaf darj karein ke yeh munafa nikala hai ya capital.
Agar partner apne munafe se zyada raqam nikal le to kya hoga?
Pehle us ka profit balance zero ho jata hai aur upar ki raqam us ke capital mein se kat’ti hai — aur statement par saaf likha aata hai ke kitni raqam capital se kati.
Mahine ke aakhir mein galle ka cash baantein ya P&L ka munafa?
Hamesha Profit & Loss (P&L) ka khalis munafa baantein. Karobar ka paisa stock aur gahakon ke udhaar mein bhi para hota hai, is liye galle ka cash munafa nahi hota.
Working partner ka zyada munafa % aur nuqsan capital ke hisab se (Musharakah usool) kaise rakhein?
HisabMate mein “By agreement, loss by capital” chunein: munafa tay shuda % se banta hai aur agar nuqsan ho to woh sarmaye (capital) ke hisab se kat’ta hai.
Agar pichle mahine ka koi kharcha baad mein darj ho to kya purana hisab badalna parega?
Nahi. Purana mahina waise hi rehta hai; agle mahine ki taqseem mein pichle mahine ka farq usi mahine ke purane % se Correction line ke taur par khud shamil ho jata hai.
Kya HisabMate mein har investor ko Urdu statement WhatsApp par bhej sakte hain?
Ji haan. Har partner aur investor ka mukammal statement Urdu ya English mein print hota hai; phone par share dabayein to seedha WhatsApp par bhej sakte hain. Aam staff se yeh chhupa rehta hai.
