Staff Permissions: Who Should See What in Your Business
Most staff are honest. Permissions are not about suspicion — they keep each person focused on their own work, protect customer details, and make mistakes easy to trace.

1. Start from roles, not people
- Owner — everything, including profit and cash
- Manager — purchases, stock and staff, with the rights you choose
- Counter staff — billing and stock lookup
- Salesman — orders and sales for his own customers
- Recovery officer — his own route’s customers and collections
2. Set rights per module
For each module decide: can this role view it, create, edit, delete, print, see ledgers, or see everyone’s records? Most staff need view and create; few need delete.
3. Make sure rights hold everywhere
A permission that only hides a button can sometimes be got around. Rights should be checked by the system itself every time data is read or saved.
4. Keep a record of changes
- Who deleted which bill, and what was on it
- Who changed which price, from what to what
- Who entered which document, and when
5. Review access every few months
When someone leaves or changes role, update their access the same day. Check the list of users and their last login regularly.
